Terms & Conditions
Effective from 1 January 2026
These Terms and Conditions apply to bookings and purchases made with Astro Abby Photography, including UK workshops, one-to-one tuition, practical field sessions, residential and non-residential photography tours, online tuition, artwork, prints and other products. By making a booking or purchase, you agree to be bound by these terms. Please read them carefully and contact us before booking if anything is unclear.
In these terms, “Astro Abby Photography”, “we”, “us” or “our” means Astro Abby Photography. “You” or “your” means the person making the booking, attending the event, or placing an order.
A. General Terms
1. Scope of these terms
These general terms apply to all Astro Abby Photography bookings and purchases unless a product-specific section below states otherwise. Where specific booking information, an itinerary, invoice, product description or confirmation email contains additional terms, those specific terms will also apply.
Astro Abby Photography provides photography tuition, guiding and the specific arrangements listed in the relevant workshop, tour, event or product description. Unless expressly stated, flights, travel to and from the destination, travel insurance, personal expenses and independent travel arrangements are not included.
2. Accuracy of information and changes
We take care to describe workshops, one-to-one sessions, tours, artwork and other products accurately and in good faith. Images, itineraries, timings, locations and descriptions are intended to give a fair impression of what is offered, but they are not guarantees of specific conditions, images, skies, views, results or outcomes.
We may need to make reasonable changes to arrangements where this is necessary because of weather, access restrictions, supplier changes, safety considerations, illness, group needs, availability or circumstances beyond our reasonable control.
3. Outdoor photography, night photography and conditions
Outdoor and night photography are affected by weather, cloud, light, visibility, access, tides, ground conditions, safety considerations and other factors outside our control. Specific photographic results or particular night photography opportunities cannot be guaranteed.
We will use reasonable skill and care to plan sessions, select locations and adapt to the best available conditions. However, unsuitable weather, cloud, poor visibility, excessive wind, rain, access closures, safety concerns or other conditions may mean that the originally anticipated photographic opportunities are limited, altered or unavailable.
Weather and outdoor conditions are an inherent risk of outdoor photography. We will do what we reasonably can to optimise the session, workshop or tour, but the risk of unsuitable or limited conditions cannot be completely avoided and does not automatically entitle you to a refund, rescheduling or compensation.
Where conditions are unsafe, or where we reasonably consider that changes are necessary for the safety, wellbeing or enjoyment of participants, we may alter timings, locations, content, transport arrangements or the order of activities. The final decision rests with Astro Abby Photography or the appointed session leader.
4. Booking and payment
A booking is not confirmed until we have accepted it in writing and the relevant deposit, booking fee or full payment has been received. We may decline a booking where we reasonably believe the event, session or product is not suitable for the participant or customer.
Payment terms, deposit amounts and balance deadlines will be set out in the relevant booking information, invoice or confirmation email. If a balance is not paid by the stated deadline, we may treat the booking as cancelled by you and cancellation terms may apply.
Prices are quoted in pounds sterling unless stated otherwise. We reserve the right to correct obvious errors in advertised prices or descriptions before accepting a booking.
5. Cancellation by you
If you wish to cancel, you must tell us in writing as soon as possible. The date we receive your written cancellation is the date used to calculate any cancellation charge.
Deposits and advance payments may be retained to cover administration, planning, supplier commitments and other genuine losses arising from your cancellation. Where reasonable and practical, we will try to resell your place or reduce losses, but this may not always be possible, particularly where supplier payments have been made or where cancellation occurs close to the event date.
Where specific cancellation terms are set out for a workshop, one-to-one session, tour, voucher or artwork order, those terms will apply in addition to this general section.
6. Cancellation or changes by Astro Abby Photography
We may need to cancel or change a booking because of illness, insufficient numbers, supplier changes, safety concerns, access restrictions, severe weather, travel disruption, force majeure or other circumstances beyond our reasonable control.
If we cancel a booking before it starts, we will offer a refund of monies paid directly to Astro Abby Photography for the cancelled service, or an alternative date, credit or transfer where appropriate and available. We are not responsible for reimbursing flights, accommodation, insurance, equipment purchases, loss of earnings, childcare, pet care, onward travel or any other costs incurred independently by you.
If an event, tour or session has already started and must be curtailed or altered, we will consider any refund or credit in light of the services already provided, costs already committed, the reason for the change and the circumstances at the time.
7. Fitness, health and accessibility
Outdoor photography can involve walking on uneven, wet, muddy, slippery, steep, loose or unlit ground; carrying your own camera equipment and tripod; standing for extended periods; working in darkness; and being outdoors in cold, wet, windy or changeable conditions. You are responsible for ensuring that you are fit, mobile and suitably prepared for the activity described in the relevant booking information.
You must tell us before booking, or as soon as you become aware, of any medical condition, allergy, disability, mobility issue, medication requirement or other factor that may affect your ability to participate safely or may require reasonable adjustment. We will do what we reasonably can to accommodate individual needs, but we may advise that a session, workshop or tour is unsuitable where safety or practical constraints make participation inappropriate.
You must follow reasonable instructions given by Astro Abby Photography, including those relating to safety, routes, locations, timing, use of torches, group movement and environmental protection. We may exclude a participant from all or part of an activity if their health, behaviour, fitness, equipment or actions create a risk to themselves, other participants, the public, the environment, property, or the smooth running of the event. In such circumstances, no refund will normally be due.
8. Equipment, clothing and personal property
You are responsible for bringing suitable camera equipment, clothing, footwear, torches, batteries, memory cards and any other items listed in the relevant information pack. You should check your equipment before the event and ensure that you are familiar with its basic operation.
You remain responsible for your own equipment and personal belongings at all times. We recommend appropriate equipment insurance for all practical photography sessions, workshops and tours. Astro Abby Photography is not responsible for loss, theft or damage to your equipment or belongings except where caused by our negligence.
9. Insurance
For UK workshops and one-to-one sessions, suitable personal, travel and equipment insurance is strongly recommended. For residential or overseas tours, comprehensive travel and equipment insurance is a condition of booking, as set out in the relevant tour information.
It is your responsibility to ensure your insurance covers the activities you are undertaking, including outdoor photography, night photography, cancellation, curtailment, medical treatment, repatriation where relevant, personal liability, and loss of or damage to photographic equipment.
10. Intellectual property and teaching materials
All teaching notes, handouts, presentations, documents, videos, itineraries, route notes and other materials supplied by Astro Abby Photography remain our intellectual property unless stated otherwise. They are supplied for your personal use only and must not be copied, shared, sold, republished or used for commercial teaching without our written permission.
You retain copyright in images you create during a workshop, one-to-one session or tour, subject to respecting any location, access, model, property or third-party restrictions that may apply.
11. Photography of participants, image use and privacy
We may take behind-the-scenes photographs or video during workshops, sessions or tours. These may include participants. We may use such images for reasonable promotional purposes, including our website, social media and future marketing materials, unless you opt out in writing before the event begins.
We will handle personal information in accordance with applicable data protection law. We only ask for information that is relevant to your booking, order, safety, administration or legal obligations. Where we collect copies of identity documents, insurance details, medical information or emergency contact details, these will be stored securely and retained only for as long as reasonably necessary.
12. Limitation of liability
Nothing in these terms excludes or limits our liability for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation, or any other liability that cannot legally be excluded or limited.
Subject to the above, Astro Abby Photography is not responsible for losses that are not foreseeable, for loss of enjoyment caused by weather or natural conditions, for loss of or damage to equipment except where caused by our negligence, or for costs incurred independently by you, including travel, accommodation, insurance, visas, equipment purchases, loss of earnings or personal expenses.
B. Workshop Terms
This section applies to group workshops, single-day workshops, short courses, classroom sessions, online sessions and UK practical photography workshops operated by Astro Abby Photography.
13. Workshop suitability and experience level
Workshop descriptions will indicate the intended level where relevant. You are responsible for ensuring that the workshop is suitable for your experience, equipment and confidence level. If you are unsure, please contact us before booking.
14. Workshop content, locations and timings
Workshop locations, timings and content may be adjusted where needed to respond to conditions, access, safety, group pace, participant needs or teaching priorities. Outdoor workshops may include a mixture of planned tuition, practical photography, image review, discussion and alternative creative opportunities where conditions require flexibility.
Late arrival may mean you miss important safety information or practical tuition. If you arrive late, we may be unable to extend the workshop or repeat missed content.
15. Weather and workshop conditions
Weather and outdoor conditions are an inherent part of outdoor photography. We do not normally cancel, refund or rearrange workshops solely because conditions are not ideal for the originally anticipated night photography opportunity. We will do what we reasonably can to adapt content and locations to the best available conditions, but clear skies, specific subjects, particular compositions and final images cannot be guaranteed.
If we decide before the start of a workshop that it cannot safely or reasonably proceed, we will contact you as soon as practical and explain the options available.
C. One-to-One Tuition and Practical Session Terms
This section applies to one-to-one tuition, private mentoring, portfolio review, planning sessions and practical field tuition arranged directly with Astro Abby Photography.
16. Scope of one-to-one tuition
The content of a one-to-one session will be agreed in advance where possible and may include planning, camera technique, composition, field tuition, image review, processing or mentoring. The pace and content may be adjusted to your experience, goals, weather, location, safety and conditions on the day.
17. Identity verification for practical one-to-one sessions
For one-to-one practical field sessions, a copy of a valid passport is required before attendance as part of our standard booking administration and identity verification process. If you do not hold a passport, please contact us before booking to discuss whether an alternative form of government-issued photographic ID can be accepted.
ID copies will be stored securely, used only for booking administration, identity verification, safety management and related record keeping, and will normally be deleted within 30 days after the session, unless we need to retain them for a longer period for legal, insurance or safeguarding reasons.
If the required ID is not provided in good time before the session, we may be unable to proceed and the cancellation terms may apply.
18. One-to-one practical safety
For practical outdoor sessions, you must be able to move safely with your own equipment and follow instructions relating to location, route, timing, torches, parking, meeting points and any boundaries or access restrictions. If conditions, access or safety concerns make the original plan unsuitable, we may alter the session content or location.
Participants under 18 may only attend a practical one-to-one session with a parent or responsible adult present throughout, unless otherwise agreed in writing.
D. Tour Terms
This section applies to residential and non-residential photography tours, including UK and overseas tours. Each tour is subject to the specific details set out in the relevant tour description, booking form, invoice or confirmation email.
19. What is provided and what is not included
Astro Abby Photography provides photography tuition, guiding and the specific arrangements expressly listed in the relevant tour description. These may include items such as accommodation, meals, local transport, airport transfer coordination, classroom tuition, field tuition, image review or processing sessions, depending on the tour.
Unless expressly stated in the relevant tour description, flights and travel to and from the destination are not included. You are responsible for booking and paying for your own flights and any travel arrangements before or after the tour, as well as travel insurance, personal spending, visas, passport costs, equipment, optional activities and any other items not specifically listed as included.
20. Tour itineraries and photographic opportunities
Tour itineraries are planned carefully, but they are not fixed guarantees of specific locations, timings, weather, skies, visibility, subjects or images. We may change the itinerary before or during a tour in response to weather, forecasts, safety, access, group needs, supplier arrangements, local advice, road conditions or the best available photographic opportunities.
Where practical, we will discuss significant changes with participants, but the final decision rests with Astro Abby Photography or the appointed tour leader. Changes will be made with participant safety, wellbeing, logistics and photographic potential in mind.
21. Tour payments, deposits and balances
Tour-specific payment amounts and deadlines will be set out in the relevant brochure, booking form, invoice or confirmation email. A deposit is normally required to secure a tour place, with the balance due by the stated deadline.
If your balance is not paid by the due date, we may treat your booking as cancelled by you and may retain sums to cover committed costs and other genuine losses, subject to applicable law and our ability to reduce those losses.
22. Minimum numbers and cancellation by Astro Abby Photography
Some tours require a minimum number of participants in order to operate. We will tell you when a tour is confirmed. You should consider waiting until the tour is confirmed before making non-refundable flights, travel arrangements or other commitments.
If we cancel a tour before departure, we will offer a refund of monies paid directly to Astro Abby Photography for the cancelled tour or, where available, a transfer to another tour. We are not responsible for flights, hotels, travel insurance, equipment purchases, loss of earnings or any other costs you have arranged independently.
23. Overseas tours and travel arrangements
Unless specifically stated in the individual tour description, flights and travel to and from the destination are not included in the price. You are responsible for booking your own flights and ensuring that your passport, visa, entry requirements and travel documentation are valid for the destination.
You should not book non-refundable flights or travel arrangements until Astro Abby Photography has confirmed that the tour has sufficient participants to run. Astro Abby Photography is not responsible for changes, delays, cancellations, missed connections or additional costs arising from flights, airlines, ferry operators, public transport, strikes, border issues, passport or visa issues, or other travel arrangements made independently by you.
Where practical, we may assist with coordinating local transfers between the airport and hotel on the tour start and finish dates. Transfer details will be confirmed before departure and may depend on arrival times, departure times, availability, group logistics and local arrangements.
For overseas tours, you are required to provide passport details or a copy of your passport, emergency contact information and travel insurance details by the balance due date or another date stated in the tour information. This information is used for administration, safety, accommodation, local logistics and emergency planning and will be stored in accordance to governing law.
24. Travel insurance for tours
For overseas tours, comprehensive travel insurance is a condition of booking. Your policy must cover, at minimum, cancellation and curtailment, medical expenses, repatriation, personal liability and loss of, theft of, or damage to photographic equipment.
You may be asked to provide evidence of suitable insurance before the tour begins. Failure to hold suitable insurance, or failure to provide evidence of it when requested, may result in you being unable to participate, without refund.
For UK residential tours, suitable travel, cancellation and equipment insurance is strongly recommended. Failure to obtain adequate insurance is your responsibility and does not entitle you to a refund if you are unable to attend or complete a tour.
25. Accommodation, meals, local transport and suppliers
Where accommodation, meals, local transport or other third-party services are included, these are subject to availability, local conditions and supplier terms. We will use reasonable care in selecting suppliers but are not responsible for supplier changes, delays, closures, substitutions or local operational decisions outside our reasonable control.
Room types, single supplements, dietary requests, transfer coordination and special requests will be handled as set out in the relevant tour information. We will pass on dietary and accessibility information where appropriate, but cannot guarantee that all requests can be met by hotels, restaurants, transport providers or other suppliers.
E. Artwork, Prints and Product Terms
This section applies to artwork, prints, framed prints, acrylics, canvases, cards, calendars, digital products and other physical or digital items purchased from Astro Abby Photography.
26. Orders, descriptions and colour variation
We take care to describe artwork and products accurately. However, colours, brightness, contrast and crop may vary slightly between screen displays, print processes, paper types, framing, acrylic finishes and other production methods. Such minor variations do not normally mean that an item is faulty.
Where you request a bespoke size, finish, crop, frame, mount, inscription or other custom option, it is your responsibility to check the details carefully before confirming the order.
27. Payment, production and delivery
Artwork orders must normally be paid for in full before production or dispatch. Production and delivery times are estimates and may be affected by print labs, framers, couriers, suppliers, seasonal demand and circumstances beyond our control.
Risk of loss or damage passes to you on delivery, unless the item is damaged in transit or otherwise faulty. Please retain all packaging until you have inspected the artwork.
28. Damage, defects and issues with artwork
Please inspect artwork as soon as it arrives. If there is any damage, defect, missing item or other issue, please contact us within 7 days of delivery, and ideally within 48 hours for transit damage, so that we can investigate promptly with the courier, print lab, framer or supplier where relevant.
This reporting timescale does not affect your statutory rights. If an item is faulty, damaged in transit or not as described, we will work with you to arrange an appropriate remedy, which may include repair, replacement or refund depending on the circumstances.
29. Returns and cancellations for artwork
Your cancellation and return rights depend on the type of item ordered. Bespoke, personalised or made-to-order artwork may not be cancellable once production has begun unless it is faulty, damaged or not as described. Standard, non-bespoke items may have different cancellation rights depending on how and where they were purchased.
Please contact us before returning any item. Returned artwork must be packaged securely, ideally in its original packaging, and returned using an insured and trackable service unless we arrange otherwise.
30. Copyright and use of artwork
Purchase of artwork gives you ownership of the physical item only. Copyright and all intellectual property rights in the image remain with Astro Abby Photography unless expressly agreed in writing. Artwork may not be copied, scanned, reproduced, resold commercially, licensed, used in marketing or altered for commercial purposes without our written permission.
F. Complaints, Contact and Governing Law
31. Complaints
If you have a concern during a workshop, one-to-one session or tour, please raise it with us as soon as possible so we have the opportunity to address it while the event is still running. If you remain dissatisfied after the event has ended, please put your complaint in writing to abby@astroabbyphotography.co.uk within 28 days, explaining the issue and the outcome you are seeking.
For artwork or product issues, please follow the timescales in the Artwork section above so that any courier, supplier or production issues can be investigated promptly.
32. Governing law
These Terms and Conditions are governed by the laws of England and Wales. Any dispute arising from them will be subject to the jurisdiction of the courts of England and Wales, unless mandatory consumer protection rules provide otherwise.
